Privacy Policy

StaffPulse provides staff scheduling, time tracking, and team communication tools to small and growing businesses. This policy describes the personal data we collect, why we collect it, how long we keep it, and the choices you have. It applies to the StaffPulse mobile app (iOS and Android), the StaffPulse web app, and the marketing website at stafpulse.com.
We do not sell your personal data. We do not use your data for third-party advertising. We do not track you across other apps or websites.
Data we collect
Contact Info
- Email Address — linked to your account.
Purpose: account creation, sign-in, password reset, transactional emails, and staff messaging.
Retention: kept for the lifetime of your account; deleted within 30 days of account closure. - Name — linked to your account.
Purpose: personalising the app, showing who is on shift, identifying the sender of messages.
Retention: kept for the lifetime of your account; deleted within 30 days of account closure. - Phone Number (optional) — linked to your account.
Purpose: only collected if you enter it on signup or in your staff profile; used for manager contact and shift notifications.
Retention: kept until you remove it from your profile or close your account.
Location
- Precise Location — linked to your account.
Purpose: used only at the moment a staff member taps Clock In or Clock Out, to verify they are at their workplace. Location is not tracked in the background, is not used for advertising, and is never sold.
Retention: the verification result (in or out of geofence) is stored with the time entry. Raw GPS coordinates are not retained beyond what is needed to record the clock-in/out event.
Identifiers
- User ID — linked to your account.
Purpose: an internal identifier used to associate your data (rosters, hours, messages, holidays) with your account.
Retention: kept for the lifetime of your account; deleted within 30 days of account closure.
User Content
- Messages, task notes, and holiday request notes — linked to your account.
Purpose: stored so that you, your manager, and your teammates can read them as part of normal app functionality.
Retention: kept for the lifetime of your account. You can delete individual messages and notes at any time. All content is deleted within 30 days of account closure.
Diagnostics (optional)
- Crash Data — not linked to your account.
Purpose: if enabled, anonymous crash reports help us diagnose and fix bugs. Not used for advertising.
Retention: kept for up to 90 days for debugging, then automatically purged.
Tracking
StaffPulse does not track users. We do not link your data with third-party data for advertising or measurement, and we do not share your data with data brokers.
How we share data
Your data is shared only with the people inside your business who need it to do their job (for example, your manager can see your hours and holiday requests). We use a small number of trusted infrastructure providers (hosting, database, transactional email, payment processing) to operate the service. These providers process data on our behalf under contract and are not permitted to use it for their own purposes.
Data security
- TLS encryption for all data transmitted between your device and our servers.
- Encrypted data storage at rest.
- Access controls and authentication on every database query.
- Regular security review of dependencies and infrastructure.
Your choices
- You can edit or remove your name, email, and phone number from your profile at any time.
- You can deny location permission. Clock-in/out will still work but will not be location-verified.
- You can request a copy of your data, or deletion of your account, by emailing privacy@stafpulse.com.
- Business owners can delete an entire business and all of its data from Settings → Danger Zone.
Children
StaffPulse is intended for use by employees aged 16 and over. We do not knowingly collect data from children under 16.
International transfers
Your information is processed on servers located in the European Union. If we ever transfer data outside the EU, we use appropriate safeguards (such as Standard Contractual Clauses) to protect it.
Changes to this policy
We may update this Privacy Policy from time to time. Significant changes will be announced in the app or by email. Continued use of StaffPulse after a change constitutes acceptance of the updated policy.
